Job Summary:

To carry out a variety of administrative tasks and will be the first point of contact with patients either on the telephone or in person and will be required to respond in a helpful and friendly manner at all times.

To provide general assistance to the doctors and the practice team.

Job Responsibilities:


  • Receive, assist and direct patients arriving at the practice
  • Handing completed repeat prescriptions to patient and checking names and address
  • Make and cancel appointment requests either by telephone or in person
  • Deal with home visit requests
  • Answer telephone, assist with queries and take messages where necessary
  • Liaise with other health professionals
  • Organise hospital transport and emergency services as required
  • Contact patients where necessary
  • Clear doctors desks after each session and follow up any requests by the doctors
  • File signed prescriptions after each session
  • Inform patients of pathology and hospital results in accordance with practice guidelines
  • Use initiative to deal with ad hoc situations that arise in reception
  • Ensure reception and working areas are kept tidy


  • To have a thorough knowledge of all Practice procedures
  • To work in accordance of written protocols
  • Scanning & filing correspondence into computer medical records
  • Fax and photocopy as requested
  • Open & distribute incoming mail
  • Take outgoing mail to the post office
  • Continuously validate patient details using correct computer codes
  • Process repeat prescription requests in accordance with practice guidelines
  • Pulling/filing notes if necessary
  • Completion of patient details on pathology forms
  • Process patients change of address onto computer in a timely manner (have knowledge of Practice area)

Other Tasks

  • Ensure building security – have thorough knowledge of doors/windows/alarm
  • Make coffee for doctors

Any other tasks allocated by manager that may be agreed from time to time.

Facilitate the effective administration of timetabling and registers across the College curriculum areas providing an effective interface between curriculum areas and resource utilisation in accordance with College policies and procedures.

  • To develop and maintain the college computerised timetabling and register system.
